Your digital customs assistant: save time, avoid mistakes

Your digital customs assistant: save time, avoid mistakes

When you send goods beyond the borders of the EU, things get bureaucratic. But don't worry: at versandrechner.de we've automated the process so thoroughly that you don't need to be a customs officer to get it right.

Our customs services at a glance

Automatic proforma invoice

Whatever you ship, customs needs documents — the invoice is the most important one. Our clever trick: for every international order we automatically create a proforma invoice for you. Nothing to type, no templates to hunt down. After booking, simply print the document and attach it to the outside of the parcel. That's the biggest step out of the way.

No more guessing: built-in HS-code search

Every product in the world has a number — the customs tariff number (also known as HS code). This number determines how much duty is payable in the destination country. Looking it up in thick reference books can take hours. Not with us: during the booking flow you can search for the correct code and insert it with a single click. That minimises the risk of your parcel getting stuck at customs.

When it gets bigger: export declaration from €1,000

From a goods value of €1,000 upwards, German customs stop playing around. A simple invoice is no longer enough — you need an electronic export declaration. Many shippers shy away from this because the ATLAS system is complex. That's where we come in: we offer this service directly. Advice — we tell you what to declare. Filing — we submit the data to the authorities in a legally compliant way. Communication — if customs come back with questions, we handle it. At the end you receive your Export Accompanying Document (EAD) and stay on the safe side legally.

Expert know-how: what you really need to know

Commercial invoice vs. proforma invoice

When do you need which?

  • Use a commercial invoice when the goods have actually been sold (commercial transaction).
  • Use a proforma invoice for shipments without a trade value, e.g. gifts, samples, or spare-part replacements.

Important: customs always want to see a value — even if you're giving something away! A zero-euro value is not accepted.

The EORI number: your ID card at customs

If you ship goods commercially to countries outside the EU, you can't avoid the EORI number. It is used to identify economic operators. Private individuals normally don't need one (except for very frequent shipments).

Where to apply? Directly online at the German customs authority, free of charge.

What is presentation to customs or a customs inspection?

Don't panic if you hear these terms:

  • Presentation to customs (Gestellung): simply means that the goods are presented to customs. This usually happens electronically through us, or physically at the carrier's depot.
  • Customs inspection (Zollbeschau): here the customs officer wants to see exactly what's inside the parcel and may open it. It's a routine procedure as long as your documents (which we prepared for you!) are clean.

Logistics pro know-how: Incoterm DAP explained

For international shipping there are clear rules on who pays what. The most common term we use is DAP (Delivered at Place). For you this means:

You (the shipper)

You pay the transport costs to the consignee's door. The shipping costs are transparently shown in our calculator.

Your consignee

Pays the import charges (duties and import VAT) in the destination country. That's the standard for most private and commercial shipments — fair and clearly regulated.

Why we're your partner for worldwide shipping

Customs handling is a matter of trust. As part of Simplelogistik GmbH and the Emons group, we sit right at the source. We use the same systems as the big logistics players but have made the interface so simple that you don't need a degree to use it.

We provide the advice, we file the declaration, we handle the communication with the authorities. You click, we clear customs.

FAQ: your customs questions — short and sharp

At versandrechner.de, creating the proforma invoice and looking up the HS code is included in the service. For more elaborate services such as the export declaration (goods value above €1,000) we charge a fair flat fee, shown transparently in your basket.
No — pack it normally and securely. Should customs decide to inspect the parcel, the officers open it and reseal it with a special customs tape.
It can lead to delays or the consignee having to pay too much duty. That's precisely why we built our search into the flow — use it to stay on the safe side.
Yes! Even though Switzerland is our neighbour, it's not part of the EU customs union. Everything going there needs the same documents as a parcel to Australia or the USA.
Under the DAP shipping model we use by default, the consignee always pays the applicable taxes and duties before the parcel is delivered.
